What do you have to pay attention to when it comes to an aquarium?

I know absolutely nothing about aquariums. We've had one in the office for about two months now. It's about 100 liters, has 20 barbs and five cleaner fish, several plants, snails, a pump inside, and lighting. What should be done regularly? I'm purely concerned about the fish's well-being… I don't really want to interfere, as it belongs to my colleague, but the water level has already dropped by about 7 cm, and I have the feeling that not much is being done… so I'd be grateful if someone could explain to me whether this is okay, or whether more should be done… I don't mean any harm, I really only care about the fish.
Clean window panes, cut back plants (a photo from the basin would be good), feed and change water or fill up the water.

Take a bucket that has never come into contact with detergents or the like and tip water into the aquarium. Make sure the water has approximately the same temperature.
