Why is Outlook blocking this user?

Hello everyone

Configuration:

User 1 has set up email addresses his-firstname.his-lastname@company.com and info@company.com.

User 2 has also set up his-firstname.his-lastname@company.com and info@company.com in Outlook.

User 1 and User 2 have an email address, his-last-name-first-firstname@company.onmicrosoft.com, for connecting to Microsoft 365 and using Calendar.

If external person A sends a term email to user1, but also sends it to info@company.com, it blocks user2 from using Outlook because neither email messages nor anything else really works anymore.

Only when User1 responds to the appointment does it relieve User2

We have little or no knowledge of Microsoft 365 ourselves and would therefore be pleased if someone could provide us with a solution.

Why the accounts are set up in parallel is a mystery to me; there has been no discussion about switching to Microsoft 365 so far.

Is an external mail server accessed via POP/IMAP with Outlook or is a separate Exchange server operated? (Exchange, if applicable, also as Exchange Online at Microsoft)

If Exchange (in any form) is used: Is the mail account set up for info@… as a mailbox or as a release?
A release differs from a normal mailbox in that it is not permanently assigned to any person and can only be released for several users via permissions.

Because several employees independently edit this account (sollen). The changes only have to be rolled out to all employees involved, i.e. the synchronization between employees must work. And this still works best in Outlook when it is connected to MS Exchange Server. POP/IMAP cannot be solely synchronized and usually require further third-party tools. And the tools usually hit their limits where the devices are no longer operated in the same network.

Outlook is the largest red. They were good when they were called Hotmail.

I have also constantly had the problem that some mails did not go through because of spam suspicion. Also, the account was blocked, which I could unlock again by phone number and SMS code entry, usually when I logged in to the phone.

At some point, I was too stupid, and I changed to Gmail.

Outlook is the largest red.

Outlook is currently in the list of used mail clients in fourth place.
Certainly not everything about Outlook is perfect, but if it is a reddish for a user, it should certainly be on the user.

Therefore, Outlook will never get to Gmail zB ran as the biggest competitor.
