What is the best way to write an email?

Hello everyone,

I don't know how to write the email using the right words. It's about the fact that I had knee surgery in a hospital on Thursday and wanted to go to my orthopedic surgeon for a follow-up appointment. Nobody answered the phone there and my email wasn't answered either, even though I had called two days beforehand. So I just went there on Friday and got in touch. I was then supposed to go to the post-op room and on the way the lady insulted me so much that I just wanted to leave. The sentence started with, "What are you doing here?", "What is Dr. XY supposed to be doing there?", "Why aren't you in the hospital for a follow-up appointment?", in such a bad tone that I actually cried there, which I never actually do (I'm 18). The doctor was really friendly and treated me really well, but I would like to write something about the lady.

Unfortunately I don't know what. I saw that you can write an email to my doctor, which I would like to do, but unfortunately I don't know how to word it.

Can anyone help? How can I best write this?

Dear Dr. XY,

I write to you today to complain about the unfriendly behaviour of an employee in your practice.

Friday, 10. February 2024, after my knee surgery on Thursday I was in your practice for aftercare. Since I had not received an answer on the phone and by e-mail, I personally came into practice.

After I signed up to the registration, I was sent by an employee to the post-OP room. On the way there I was addressed by her in a very unfriendly tone. She said, “What are you doing here? What’s Dr. XY doing? Why aren’t you in the hospital for aftercare?”

Her tone was so stubborn and degrading that I broke out in tears. I’ve never experienced this before and I was very shocked.

The following appointment with you was very positive. They were friendly, competent and took a lot of time for me.

Nevertheless, I don’t want to take the incident with the employee that way. I find it unacceptable for patients to be treated in your practice.

I therefore ask you to deal with this issue and to ensure that such incidents do not repeat in the future.

I would be grateful if you would give me your opinion on this subject.
