Roster design, Excel, with personal requests?

Hi,

I have to write a monthly roster for 16 colleagues.

The majority work full-time, some cannot work on weekends,

Others don't work in the evening. At least four colleagues should be on the early shift on weekends, and two on the late shift. Vacation and sickness absences also have to be taken into account, of course. Personal requests for birthdays, etc., must also be taken into account. If you're really good at Excel, is there a way to create a spreadsheet so that the DP practically writes itself? Thanks.

It should be at least the weekend. 4 colleagues in the early shift, 2 in the late shift. Of course there are still holidays and illness-related accidents.

Theoretically feasible. You need to know

  • of 16 employees, how many jobs “must” be occupied (minimum occupation)
  • who can occupy/transfer another place in case of failure e.g. disease
  • are all used for the early/dwelling layer
  • etc.

On the market, however, there would have to be finished programmes.

Yeah, you can.
If the raw data of these wishes are always up to date.
If “recalculated” by event (sickness) from this point in time, it is of course necessary to initiate this in accordance with the Service Plan “Chef”.

However, a portion of VBA programming is necessary.
..and the supplementary questions of GutenTag2003, should also be included in the calculation.
You don’t even do that by the way.
AND for free, this is probably not obtained.

Further functions are also conceivable.
Too much wreath…automatic alarm mail to the superiors etc.

Well, quite theoretically, but I think a plan of services has too many variable ways to make it really fair and fair. There are fiverr people who specialize in Excel, you could ask an expert if he can create this – but usually costs 50-200€ depending on the

I could imagine that the table will be able to include some help to determine the fulfilment of operational requirements. This can be done by forming sum parameters that query whether enough people are planned per shift.

Then you need to enter the personal details, such as holiday wishes or weekend breaks. This can be done by (temporary) dyeing of fields. Then the rest must be filled so that everything is covered. It should also be noted that sufficient recovery time is guaranteed in the shift change (by free layers at the end of the block).

From industry, I know various shift systems where there is a “basic pattern” in which colleagues work. Their patterns can be printed in advance in calendars. This could be used as a basis for achieving the special requests by exchange or addition of services.

I don’t know myself with any automation.

I hope that my thoughts will at least help to facilitate the development of the plans, even if it is not automatic.
