Is the form useful for customers?

It's about an acquaintance who has little experience in self-employment. He has registered a small business in Germany and offers services such as web design, website creation, SEO, WordPress support, etc.

He's now toying with the idea of handing out a customer form to each client, which the client must then fill out, containing all the details of the order. The form would have to be completed by the client before the website is created, including all the information my friend needs to create it.

He says it's far too stressful for him to search through customers' WhatsApp chats for important information for his project or the website he's developing. With the form, everything would be condensed into one; the form would be pre-designed and no longer than one page.

I don't think it's a bad idea, but it's not cheap and customers are already paying a lot and then they have to fill out a form which makes the web designer's (his) job easier, that's what he means.

What do you think? Is his idea a good one?

I have an agency in a similar area. In life, I wouldn’t mind filling out any written forms for my customers. Especially in the middle class there is hardly a customer time for. The much bigger problem, however, is that the customer usually doesn’t know what he wants at all or what he means to want at the end is not what he actually needs.

We therefore clarify the requirements for the project in workshops, i.d.R. per video conference. In doing so, we look with the customer what he really needs to achieve his individual goals and how this from our point of view (which does not always have to match that of the customer – which is why something like this is discussed synchronously, for example via VC) can best be tailored to the customer and then implemented.

So it would also be advantageous to bring things to paper in writing, because it can be used for problems to refer to the document. Whatsapp is a difficult thing as it is data protection-relevant.

In Germany he has registered retail trade

There is no small business in Germany. The trade order only knows one industry – the size has no influence on it.

However, there is a small-scale entrepreneurial system at the tax office, but it has only to do with tax collection and turnover taxes.

Now he plays with the idea of handing out a customer form for each customer

the specifications and contains all necessary requirements of the client for the respective project. He then draws up the specification of duties, which shows how he wishes to meet the requirements set out in the specification.

According to him, it is too stressful to pick up the WhatsApp chats of customers according to important information for his order or his website to be made.

It is. Nevertheless, the project will not be spared and will also be incorporated as a change into the responsibilities. It’s all together again. (You should, of course, chronologically defer to changes at the points already defined, so that this will remain comprehensible later.)

and then they would have to fill out a form,

If you want to build a house, you also need to define your wishes exactly so that an architect can create the plans. And these plans are then again their specifications as an execution drawing for the individual works.
This is not unusual and also completely normal in the web area. If this is not fixed in writing, the contractor will have the problem that the customer can claim that certain elements would never have been discussed. This has been documented and can be called upon with specifications and duties.

Moin, form is some old school – especially if web design, website creation, SEO, wordpress help etc. is not offered professional. Digital work is now being done. Better is an online tool in which all data are entered. Is more efficient, saves transmission errors and you have all the data equally suitable for order…

To simply press a form into the hand is certainly not sensible. But you can simply go through the questions of the form during the consultation and ask the customer.
